Before you register with any of our programs, we recommend that you review our Terms and Conditions. Below is a list of policies that may be pertinent to you. Please call us directly if there's something that you would like to know that isn't covered here.
Atlantis Swim, Pedalheads Bike, and Pedalheads Sport requires a minimum of two weeks (14 days) notice for any cancellations. Up until this point, we will gladly issue a credit note to your account for the full amount, or a refund minus a $25 cancellation fee per registration or spot held (meaning per child, and per week). Any cancellations received with less than 14 days notice will be subject to 100% penalty. There are no refunds for missed days due to changed work or vacation schedules, sick days, or other non-emergency reasons.
For example, if you have two children registered in the same week, you have two registrations (2 x $25), or if you have one child registered for two weeks, you also have two registrations (2x $25). If you called to cancel your camp less than 14 days before it started, you would not be eligible for a credit note or refund.
We recognize that extenuating circumstances exist. For cancellations due to medical illnesses, or for any other compassionate reason, please apply in writing to the office (no more than 14 days after the end of the program) for a potential credit. If medical, please include documentation. This credit note can be used within your family towards any of our programs offered. Please note that this credit note will expire 2 years from this date. Once a credit is issued it cannot be converted to a refund.
All switches for week long camps must be done by the Monday, 2 weeks prior to the camp start date before 4pm. Any switches for once a week classes must be done no later than 14 days prior to the start date . If you would like to make any changes to your registration, you must give our office a call to process the change to avoid any fees. Any additional registrations made on the consumer end, even with the intention of making a switch, is subject to our regulation cancellation policy. Due to time and enrollment constraints, there are no make-ups or credits for missed Pedalheads® or Pedalheads Sport classes. In the event that a child misses one of their swimming lessons, Atlantis Swim will happily attempt to schedule one make-up class within the same session, however these are not guaranteed and are based on availability. Make-ups for private lessons are accommodated in regular classes.
Switching to another time within the class session is always free of charge for similarly priced classes, but is based on space availability and not guaranteed. If switching is done on the first day of camp, and there is a discrepancy in the class cost, the difference is to be paid or refunded.
All outdoor camps and lessons run rain or shine, therefore we do not refund or credit for classes missed by choice due to weather. All children should come to camp with weather appropriate clothing and related gear.
If extreme weather jeopardizes the safety of children or employees in any way, the programs may hold off on specific activities until conditions have subsided. The decision to cancel any programs due to potentially hazardous weather will be made in consultation with regional managers and local weather forecasts or advisories. In the event of any cancellations due to inclement weather, every effort will be made by Atlantis Swim, Pedalheads and Pedalheads Sport to contact all clients affected, via email, phone or informative postings at affected locations and sites.
Air quality issues have become an increasing concern for all of us. Unfortunately, we cannot know for certain when and how changing air quality will impact our camp operations. We understand that scheduling a camp for your child is a significant commitment, and you’d rather not have to make alternative plans last minute. We also understand that your child’s safety is your number-one concern, as it is ours.
We will operate camps as scheduled to help you avoid rearranging your obligations. We may limit activities based on conditions, but we will care for your child. When necessary, we will have additional staff on hand to provide extra assistance.
We make decisions based on what’s best for our campers and staff based on the recommended guidelines from Canadian and American health agencies. We review air quality conditions on a regular basis and adjust camp activities as needed. Below is Pedalheads' action plan for different levels of Air Quality.

Health authorities recommend that strenuous and/or prolonged activities be reduced or avoided as air quality worsens. These authorities have defined strenuous activities as those that require ongoing and extreme levels of physical exertion (i.e. jogging, soccer, and tennis).
Our introductory levels are not generally considered strenuous as they are focused on skill development and instruction rather than speed and endurance.
Our advanced levels that include a road-riding component do involve increased physical effort and continuous activity; as such, we adjust these classes more drastically as air quality worsens.
Because air quality can vary from neighborhood to neighborhood and fluctuate dramatically hour by hour, it is difficult to create a rigid set of policies that accommodate constantly changing conditions. Our site managers and supervisors have the authority to adjust to real-time conditions as they change.
We strive to secure camp locations that offer indoor space, but it’s not always possible and our only option is to remain outdoors. Check the details of your preferred camp locations for information about available facilities.
Trust your judgement! We encourage you to consider your child’s specific situation and decide whether or not to participate in camp on days with poor air quality. That said, as our goal is to maintain full staffing levels every day, and incur the associated costs, we are unable to offer credits or a refund if your child does not participate on days affected by poorer-than-usual air quality.
As our instructors are more continuously active than campers during the day, they may choose to wear N95 mask respirators as a precautionary measure. However, as dust and respirator masks are not specifically designed to fit a child’s face, they will not seal well enough to provide any protection (mask details) and are not recommended for camp activities.
If you have specific concerns about your child’s health, please communicate these to the site manager or your child’s instructor during Monday check-in.
While your child may not get to experience as much biking or multi-sport activity as planned, please know that we do everything in our control to ensure your child stays safe and has an incredible camp experience at Pedalheads.

No nuts are allowed at any of our camps or swim locations. If you bring a snack or lunch for your child, please ensure that it does not include any nuts, as some children may have a serious allergy.
No matter which program your children are enrolled in with us, their safety is our number one priority! Pedalheads will do everything in its power to protect all children from any potential harm. We reserve the right to dismiss any child from a program that intentionally harms others, brings a weapon to the program, vandalizes property, or displays other extreme behavior. In these instances, no refund will be issued. In matters of inappropriate behavior, parents will be notified verbally and/or in writing with a course of action.
All employees of Atlantis Swim, Pedalheads Bike, and Pedalheads Sport must complete criminal record checks, or, if not applicable, supply two signed professional character reference checks. All supervisors and managers must complete a criminal record check before lessons/camps begins. All potential employees are screened in professional interviews, and their references contacted before they are offered employment.
By registering with Atlantis Programs Inc., the parent/guardian of the registered participant(s) on his own behalf and on behalf of the participant,(s) hereby agrees that Atlantis Programs Inc. will not be held responsible for any accident, injury or loss, liability, damage or cost they may incur however caused, whether negligently or intentionally, and agrees to release and hold harmless all instructors, staff, volunteers and sponsors from all claims or damages without limitation which may arise as a result of/or by reason of such accident or loss.
Sometimes, especially with all the excitement of camp, kids lose things. We recommend that children don't bring valuables with them to camp, and that every parent checking out with their child's instructor at the end of each day takes a moment to ensure that all their child's items go home with them. We are not responsible for lost or stolen property; however, we do maintain a 'Lost & Found' bin where we collect items that we find. At the end of every term, the lost and found is taken to the nearest charity and the items inside donated.
We like to cherish the fond memories and exciting moments at Atlantis Swim, Pedalheads, Bike, and Pedalheads Sport. Therefore, we may occasionally hire professional photographers to capture the magic at our pools or outdoor camp locations. If your child is present during one of our photo shoots, the manager or supervisor will be approaching you with a photo permission form to be reviewed and signed. With your consent, your child may even be featured on our website or in promotional materials!
Atlantis Swim, Pedalheads Bike, and Pedalheads Sport respects its customers' rights to personal privacy. Personal information is not lent or sold to any person or agency for any purpose. Any personal information customers have provided to Atlantis Swim, Pedalheads Bike, and/or Pedalheads Sport will be used to deliver services to them only and to keep them informed and up-to-date about the activities of the company. These activities include advising customers of initiatives, programs, services, confirmations, special events, and/or emergencies. If any individual wishes to have their personal information amended or removed from the company databases, simply click the “unsubscribe” link on the bottom of any email or give the office a call at 1-888-886-6464. The company website and online database is exchanged on a server using the Secure Sockets Layer (SSL) protocol to encrypt or encode the data, and to ensure security during the online registration process.
To protect the privacy and safety of Pedalheads’ attendees, details pertaining to any child’s registration are disclosed only to the account holder via the email associated with his or her account. Alternatively, the account holder may attend our head office - located at 4894 Fraser Street, Vancouver, BC - in person with two pieces of identification to request registration details. Other individuals, whether related to the child or not, seeking registration details must directly contact the account holder to obtain this information. Exceptions are made only in the case of a request from a registered emergency care provider (physician, paramedic, etc.), police agency, or court directive.
All Atlantis Swim, Pedalheads Bike, and Pedalheads Sport participants and their families qualify to enter, unless they are also employees of Atlantis Swim, Pedalheads Bike, or Pedalheads Sport. To claim a prize, you must be at least 18+.

When children receive positive and understanding interactions from adults and others, they develop good self-concepts, problem-solving abilities and self-discipline. Employees are expected to conduct themselves at all times in a respectful and professional manner when dealing with children, and when interacting with parents.

All campers must be fully potty trained and does not require any assistance in order to participate in our camps. Should your child require assistance, we kindly ask for a parent or guardian to stay on site at all times to assist your child as needed. It is not permitted for a staff member to enter a stall with a camper.
While we do everything we can to ensure that accidents don’t happen, kids are drinking lots of water and are easily distracted by the excitement of riding their bike. Please remember to pack extra clothing for your young child, just in case.
